This position is for an Administration Clerk within the Transversal People Capacity Enablement unit of the Department of the Premier in the Western Cape Government, with two posts available. The successful incumbents will be based at the Provincial Assessment Centre (PAC) and will play a central role in ensuring the smooth day-to-day administrative functioning of this unit. The role is broad and requires a candidate who is organised, detail-oriented, and capable of handling multiple administrative responsibilities across human resources, procurement, finance, and records management. As part of a transversal team, the clerks will support the department’s capacity enablement objectives by ensuring that assessment processes, candidate records, and related administrative systems are accurate, up to date, and compliant with public service regulations.
To be considered for this role, applicants must hold a Grade 12 Senior Certificate or an equivalent qualification. The role demands a solid working knowledge of clerical duties and administrative practices, including data capturing, basic computer operations, and statistics collection. Familiarity with the legislative framework governing the Public Service and the specific work procedures relevant to the environment is essential. In terms of skills, the ideal candidate should be proficient in administration and coordination, information and records management, data management and reporting, financial administration, and procurement and asset management. Strong communication and stakeholder service abilities are also required, along with the capacity to plan and organise activities while maintaining meticulous attention to detail.
The core duties are varied and integral to the functioning of the Provincial Assessment Centre. The clerk will provide general clerical and administrative support, which includes handling correspondence, managing documents, responding to enquiries, and performing routine office administration. A significant portion of the role involves coordinating and supporting assessment logistics, such as preparing materials, arranging venues, maintaining attendance records, and assisting with assessment-related activities. The incumbent will also be responsible for managing assessment databases and information systems by capturing, updating, and maintaining candidate, assessment, and reporting records. Maintaining the PAC’s records, filing systems, and registers is another key responsibility, ensuring accurate record keeping and efficient document retrieval. Additionally, the role supports human resource administration, including leave administration and personnel record management, and provides supply chain and procurement administration support, covering quotations, purchasing processes, asset control, and stationery management. Financial administration tasks include expenditure tracking, invoice processing, travel and subsistence claims, petty cash management, and maintaining related financial records.
Shortlisted candidates should note that the selection process includes interviews scheduled by the department, and they will be required to submit duly completed and signed vetting and supporting documentation within a specified timeframe prior to the interview. Failure to do so without reasonable justification may result in disqualification from the process. All shortlisted candidates must also undertake two pre-entry assessments: a practical exercise to determine suitability based on the technical and generic requirements of the post, and an integrity assessment focusing on ethical conduct. The selection process will be guided by the employment equity targets of the employing department. By applying, candidates consent to the Western Cape Government contacting previous employers or managers for employment references, which will include enquiries about disciplinary records and reasons for leaving. This is a permanent, entry-level clerical post within the public service, offering an opportunity to contribute to the effective administration of provincial government capacity building initiatives.
