This position offers an opportunity to serve as an Administration Officer within a medium-sized office in Wynberg, Western Cape, forming part of a broader government department’s operational structure. The role is central to ensuring the smooth day-to-day running of the office, supporting the unit’s administrative functions, and contributing to effective service delivery. The successful candidate will work within a team-oriented environment, liaising with internal and external stakeholders, and will be expected to uphold the values of accountability, integrity, and professionalism in all tasks. The post is a permanent, entry-level administrative role that requires a solid foundational understanding of public service operations, financial administration, and office management practices.
Candidates must possess an undergraduate qualification in Office Management and Technology, Business Management, or Administration Management at NQF Level 6, as recognised by the South African Qualifications Authority. In addition, a minimum of one year of relevant administrative experience is required. The role demands extensive knowledge of various filing systems, both manual and electronic, as well as familiarity with Public Service Regulations, departmental legislation and prescripts, the Public Finance Management Act, National Treasury Regulations, and Supply Chain Management processes. A willingness to travel and work extended hours when necessary is essential. The ideal candidate will demonstrate strong planning and organising abilities, analytical thinking, problem-solving skills, and sound financial administration capabilities. Excellent time management, interpersonal skills, verbal and written communication, teamwork, customer focus, and the ability to multi-task are also critical. Proficiency in MS Office applications, including Word, Excel, and PowerPoint, along with general computer literacy, is required. Personal attributes such as patriotism, honesty, integrity, and accountability are non-negotiable.
The core duties of the role involve implementing and overseeing the administrative operations of the office. This includes performing general administrative activities in support of the unit, drafting submissions, reports, memorandums, and minutes, and conducting records and document management both manually and electronically. The officer will provide support in completing and processing subsistence claims, track all incoming work to ensure deadlines are met, and liaise with relevant stakeholders. Other responsibilities include administering leave arrangements, processing forms and documents related to claims, payments, invoices, and consultant fees, and typing correspondence as required. The officer will also oversee office equipment, organise maintenance and repairs, and provide logistical services within the functional unit. A key part of the role is to ensure innovation and service delivery, implement effective risk and compliance management practices, and manage human, physical, and financial resources efficiently. The officer is expected to coach and guide staff on best practices and compliance with regulatory requirements.
Shortlisted candidates will be required to undergo two pre-entry assessments: one practical exercise to determine suitability based on the post’s technical and generic requirements, and an integrity assessment to evaluate ethical conduct. Applicants must be prepared to submit a comprehensive CV, a fully completed and signed application form, and relevant educational qualifications or academic transcripts. Those with foreign qualifications must provide evaluation results from the South African Qualifications Authority. This position offers a meaningful career path for a detail-oriented, organised individual committed to public service excellence.
