This position offers an opportunity to contribute to the efficient management of state assets within a major public healthcare facility. Based at Groote Schuur Hospital in Observatory, the Administration Clerk will focus specifically on Supply Chain Management with a dedicated emphasis on Asset Management. The role is situated within the broader financial and administrative framework of the Western Cape Government’s health department, ensuring that all physical assets are accurately recorded, maintained, and accounted for in line with legislative requirements. This is a vital support function that helps safeguard public resources and ensures that the hospital’s equipment and property are managed responsibly and transparently.

To be considered for this role, candidates must hold a Senior Certificate or equivalent, with Mathematics and/or Accountancy as a passed subject. Alternatively, a Senior Certificate combined with relevant experience or competencies that directly address the key performance areas of the post will be accepted. Crucially, applicants need appropriate asset management experience, which means a proven track record in handling asset registers, conducting asset counts, and managing the lifecycle of equipment. The role also demands a solid working knowledge of the Public Finance Management Act, as well as National and Provincial Treasury regulations and policies. Strong interpersonal and communication skills are essential, as the clerk will liaise with various departments and staff members. Computer literacy in MS Office, specifically Excel, Word, and PowerPoint, is also required to maintain records and produce reports effectively.

The core duties of this position are hands-on and detail-oriented. The successful candidate will participate in the annual asset count and assist with ad hoc inspections to verify the physical existence and condition of assets. Another key responsibility is the disposal of redundant, obsolete, and unserviceable items, ensuring that all disposals follow the prescribed policies and procedures. The clerk will also be responsible for the barcoding and tracking of all assets, which is critical for maintaining an accurate and up-to-date asset register. This register must be continuously updated to reflect equipment that has been purchased, donated, transferred, or disposed of. Additionally, the role involves assisting with the implementation of relevant asset management policies, helping to ensure that the hospital remains compliant with all applicable regulations and internal controls.

There are several important notes for prospective applicants. No payment of any kind is required when applying for this post, so candidates should be wary of any requests for money. Shortlisted candidates may be subjected to a practical test as part of the selection process, which will likely assess their competence in the key areas of the role. This is an OSD-graded position, and the post is advertised under a specific circular reference. The role offers a stable career path within the public service, with the satisfaction of contributing to the operational integrity of a leading hospital. If you have a keen eye for detail, a strong sense of accountability, and experience in asset management, this position provides a meaningful opportunity to apply your skills in a public sector environment.
