This position offers an opportunity to contribute to the smooth functioning of public health services by managing the vital flow of information. The two posts are based at Kensington Community Day Centre and Du Noon Community Health Centre, falling under the Metro Health Services directorate. As an Administration Clerk specialising in information management, the successful candidates will work as part of a dedicated information management team, helping to ensure that accurate, timely and complete health data is available to support service delivery, planning and decision-making. The role sits at the operational heart of the facility, where reliable data is essential for monitoring performance, tracking disease trends, and meeting both departmental and national reporting obligations.
Applicants must hold a National Senior Certificate or equivalent, and importantly, must have appropriate practical experience in information management within a health environment. This is not an entry-level clerical post; it requires someone who already understands how health information systems work in practice. The ideal candidate will possess strong verbal and written communication skills, as well as a sound knowledge of the Department of Health’s policies, acts, legislation and circulars. Familiarity with information management processes and Standard Operating Procedures is also essential. Technical competence is a key requirement, specifically knowledge of computer systems such as SINJANI, Clinicom, PHCIS, Tier.net and EDR.web. In addition, the candidate must understand and be able to work with HAST programme data tools, reflecting the importance of HIV, AIDS, STIs and Tuberculosis data in the public health setting. Proficiency in the full Microsoft Office suite, including MS 365 applications, is required for daily tasks such as reporting, data cleaning, and communication.
The duties are varied and hands-on. The incumbent will collect, collate and compile data from various sources, validate the data to ensure accuracy, and analyse data trends to identify anomalies or areas needing attention. Ensuring proper data flow, monitoring data quality, and submitting reports timeously are central responsibilities. The role also involves conducting data spot checks and trend analysis across all datasets, following up on issues identified, and responding to ad hoc queries and data requests from managers and other staff. During health campaigns, the clerk will assist with the collection, collation, capturing and quality assurance of campaign-specific data. Another important function is conducting internal audits at the facility in line with Standard Operating Procedures and Auditor General requirements, providing constructive feedback to facility staff on findings. The position also offers support to the line manager and includes administrative relief duties in reception, so flexibility and teamwork are important.
