This position is for an Administration Clerk specialising in Asset Management and Logistics within the KwaZulu-Natal Department of Health, based in Pietermaritzburg. The role is central to the department’s ability to manage its physical resources efficiently and in line with public sector financial and supply chain regulations. Working within the broader management echelon, the clerk provides essential support services that ensure assets are correctly recorded, maintained, and accounted for. The post is part of a department that is committed to equal opportunity and affirmative action, with a stated aim of promoting representivity across all occupational categories and levels.

Candidates wishing to apply must hold a Senior Certificate or an equivalent qualification. The role demands a solid working knowledge of the Asset Management Framework, Treasury Regulations, Provincial Supply Chain Management Practice Notes, the Supply Chain Management System, and the Public Finance Management Act. Familiarity with the Hardcat and BAS systems is also required, as these are the tools used for asset tracking and financial recording. The successful applicant will need to be computer literate, possess good interpersonal relations, and demonstrate strong verbal and written communication skills. While not mandatory, a post-matric qualification in Supply Chain Management, Finance, or a related field will be an added advantage and may strengthen an application.

The core duties of the role revolve around rendering assets and logistical support services. This includes developing and maintaining the database for assets, which is a critical function for ensuring accurate record-keeping and accountability. The clerk will also be expected to provide advice to management on the current state of assets, flagging issues such as condition, location, or obsolescence, and to advise on the replenishment of assets when needed. Another key responsibility is controlling the receiving of assets, which means verifying deliveries, checking them against orders, and ensuring they are correctly captured in the system before being distributed or stored. These duties require attention to detail, organisational ability, and a clear understanding of procurement and asset lifecycle processes.

There are several important conditions attached to this vacancy. The department has emphasised that all applications must be submitted in accordance with the instructions in the circular, including the use of the prescribed application form and the inclusion of a comprehensive curriculum vitae. Incomplete or incorrectly completed applications may be disqualified. Only shortlisted candidates will be asked to submit certified copies of qualifications and supporting documents, and these must be produced on or before the day of the interview. It is also the applicant’s responsibility to have any foreign qualifications evaluated by the South African Qualifications Authority. Late applications will not be accepted, and applicants who have not been contacted within three months of the closing date should consider their application unsuccessful. These conditions are standard for public service posts and are intended to ensure a fair and transparent selection process.
