The Western Cape Mobility Department, operating under the Western Cape Government, is seeking an Administration Clerk to focus specifically on freight and logistics within a three-year contract appointment. This role sits at the administrative heart of the department's mobility operations, ensuring that freight and logistics functions are supported by efficient clerical systems, accurate record-keeping and smooth coordination. The position is graded at salary level 05 and offers an opportunity to contribute to the public service's transport and logistics objectives while gaining valuable experience in government administration.
Candidates must hold a Grade 12 Senior Certificate or an equivalent qualification. The role demands a solid working knowledge of administrative and clerical procedures and systems, including word processing, managing files and records, designing forms, and understanding general office procedures and terminology. Familiarity with applicable legislative and regulatory requirements, policies and standards is essential, as is knowledge of Public Service financial legislation, processes and procedures. In terms of skills, applicants should demonstrate strong numeracy, literacy and language abilities, together with sound computer literacy, as these are fundamental to performing the duties effectively.
The main duties of the position are broad and centre on general administration. This includes procuring goods and services, processing payments, drafting and typing documentation, and maintaining databases and registers. The incumbent will also be responsible for executing meeting and event logistics, which involves scheduling meetings, preparing minutes, following up on action items and making travel arrangements. Project support forms another key component, including handling enquiries from internal and external stakeholders. Effective document management is a further responsibility, ensuring that records are properly organised, stored and retrievable in line with departmental standards.
Several important conditions apply to this recruitment process. Shortlisted candidates will be required to attend interviews on a date and time determined by the department and must submit duly completed and signed vetting and supporting documentation within the timeframe communicated by the Western Cape Government, prior to the interview date. Failure to provide these documents within the prescribed period, without reasonable justification, may result in the candidate not being considered further. All shortlisted candidates will also undertake two pre-entry assessments: a practical exercise to determine suitability based on the post's technical and generic requirements, and an integrity assessment focusing on ethical conduct. The selection process will be guided by the employment equity targets of the employing department. By applying, candidates consent to the Western Cape Government contacting previous employers or managers for employment references, and these checks will include enquiries relating to disciplinary records and reasons for leaving. Applicants are reminded to submit their applications before the closing date, as late submissions will not be considered. Technical support for online applications is available during business hours, and the enquiries person listed in the advert may be contacted for any other queries relating to the position.
