This position offers an opportunity to work as an Administration Clerk within the admissions units of public sector community health centres in the Western Cape, specifically based at Gugulethu, Mitchell’s Plain, and Hanover Park. There are four permanent posts available, with the role focused on the smooth and efficient management of patient admissions and related administrative processes. As part of the facility’s administrative team, the successful candidate will be responsible for ensuring that patient information is accurately captured and maintained, and that all documentation is handled with care and confidentiality. The role is central to the patient journey, as it involves the first point of contact for admissions and the ongoing maintenance of medical records.
To be considered for this role, applicants must hold a Senior Certificate or equivalent qualification. In addition, the role requires appropriate experience in patient administration or admissions, as well as relevant client care experience. This suggests that candidates should be familiar with the operational demands of a healthcare environment, particularly around patient registration, recordkeeping, and dealing with patients or the public in a considerate and professional manner. Strong computer literacy is essential, along with good interpersonal and communication skills. The ability to accept accountability and responsibility is important, as is the capacity to work independently and without direct supervision, while also functioning effectively within a multi-disciplinary team.
The main duties of the post are varied and include the registration and capturing of patient information on the Primary Health Care Information System, known as PHCIS. The clerk will also be responsible for recordkeeping, filing, retrieving, tracing, opening, and destroying patient folders in line with facility procedures. Cash management forms part of the role, so honesty and accuracy in handling payments or related financial processes are required. The effective and efficient handling of patient documentation is a key responsibility, as is managing enquiries from patients and other stakeholders. Additionally, the incumbent may be required to perform relief duties within the facility as needed, which means flexibility and a willingness to assist across different administrative functions when staff shortages or busy periods arise.
There are some inherent requirements that applicants must be prepared to meet. These include working long hours, which may involve night duty, weekends, and public holidays, as well as working overtime on short notice. This reflects the operational needs of community health centres that provide continuous care. It is also important to note that no payment of any kind is required when applying for this post, and candidates should be aware that they will be subjected to a written or practical assessment as well as an oral interview as part of the selection process. This is a permanent position offering a stable career within the public health sector, with a salary package that includes service benefits such as a thirteenth cheque, pension fund contributions, and allowances for housing and medical aid. The role is well suited to individuals who are organised, compassionate, and able to thrive in a busy clinical administrative environment.
