    Duties

    PURPOSE OF THE POSITION                                The purpose of this position is to effectively manage Residence operations, which include the placement of students, financial management and control through the budget, people management, building maintenance, manage and oversee the cleaning of residences, and ensuring compliance with the Occupational Health and Safety regulations in the residences. KEY RESPONSIBILITIES:1. Residence Services Operations Management. Develop and implement annual plans for residences.Coordinate and manage relations with internal and external stakeholders (including suppliers) for Residence Services.Manage all relevant contracts through SLA’s for Residence Services.Implement and monitor quality service adherence in residences through the SOPs and NWU Quality Manuals.Ensure optimum and responsible utilisation of all residence assets.2. Residences maintenance and Capital RenewalsMaintain and see to the implementation of PC RCS’ preventative & reactive maintenance plans for our residences.In consultation with the Facilities & Maintenance Department, ensure that periodic Condition Assessments are done in residences to inform the 10-Year Capital Renewal Plans.Participate in residence specific Capital Renewal planning for all upcoming projects.Ensure internal PC RCS quality adherence during Capital Renewal implementation to minimise maintenance and cleaning challenges.Manage and ensure that Residence Services staff attend to maintenance issues timeously, and on completion, sign-off on the work done.Inspection of all maintenance projects and capital renewal projects together with Maintenance Coordinators to ensure that quality work is done consistently in residences.Ensure safety compliance adherence by service providers during maintenance projects in residence.3. Placement Administration and StarRez system utilisation  Coordinate and facilitate placement of students in residences as per approved placement ratios as part of the Potchefstroom Campus Placement Committees.Manage the administration of accommodation cancellations as per NWU rules & regulations. Manage the optimum utilisation of StarRez for effective system-based placements and accommodation administration.Effective monitoring and supporting of placement officers during busy placement periods.Periodic review of StarRez system functionality in residences administration and reporting issues to senior management for solutions.4. Financial management & control Prepare annual Residence Services budget together with Financial Planner for approval by management in accordance with the strategy.Manage the Residence Services budget through periodic reports submission to management for monitoring and support.Sign-off on reconciliations of Residence occupancy and associated fees.Manage costs associated with residence operations through the budget.Set and monitor targets for growing reserves in residences funds through effective cost containment in all operations.Maximise revenue by ensuring optimum room occupancy in residences. Manage expense within budget. Monitor monthly together with the Financial Planner to keep expenditure within approved figures. 5. People Management Create an enabling leadership culture by developing a shared direction, shared values and alignment and commitment to transform the organizational culture, foster a participative and developmental leadership style and improve team cohesion, synergy and effectiveness in residences.Ensure effective utilisation of human resources in residences for enabling quality services and cost containment. Arrange and implement staff developmental trainings annually for residences teams.Manage and monitor disciplinary procedures in residences to comply with NWU People & Culture policies.Implement and monitor performance appraisals for residences staff.6. Residences hygiene & cleanlinessDevelop and implement an effective model for managing hygiene and cleanliness in residences.Initiate and put in place requisite contracts for cleaning and other services in residences ensuring that renewals or new contracts are put in place in time.Manage cleaning, pest control and related contractual obligations in the residences.Ensure that highest levels of hygiene and cleanliness are maintained in all residences. 7. OHS (Occupational Health and Safety)Ensure that all residences adhere to OHS regulations.Implement annual OHS training for delegated staff in residences for compliance.Monitor compliance with NWU SHE policy by all residences.
